Personal data means any information relating to an identifiable person who can be directly or indirectly identified from the information.
We currently collect and process the following information:
- Personal identifiers, contact details and characteristics (for example, name and date of birth)
- Unique vehicle identifiers such as VIN and registration number.
- Your occupation.
How we get the personal information and why we have it
Most of the personal information we process is provided to us for one of the following reasons:
- Your insurer has instructed us to process a part of your claim
- Specifically, to provide alternative basic hire rates (BHR) for a vehicle at the time of your claim
We receive personal information indirectly, from the following sources in the following scenarios:
- Your insurer will provide us your personal data in the event of a claim for vehicle hire that they are negotiating.
- The solicitor, acting on behalf of your insurer, will provide your personal data for a court statement to be prepared.
We use the information that you have given us in order to
- Provide a vehicle BHR and court compliant statement relevant to your
- vehicle
- location
- age
- driving convictions
- occupation
For the performance of any contract we enter into we may share this information with:
- Insurance companies and their agents
- Solicitors working on behalf of insurance companies or their agents
- Many of the report types are intended to be used by courts of law
We do not sell your personal data to any Third Party.
Transfer of personal data abroad
We do not transfer your personal data outside the UK.
Lawfulness of Processing
Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information:
Article 6(1)(f) – We have a legitimate interest.
we rely on Article 6(1)(f) of the GDPR (processing necessary for legitimate interests pursued by the controller or a third party) as the lawful basis for use on the basis that our rights and obligations under the contract/arrangement (and more generally, our business) are legitimate and the data processing activities that we and (where appropriate) our third parties perform are proportionate and secure and have due regard to your rights and freedoms.
How we store and retain your personal information
We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.
All information provided to us is stored on our secure servers in the UK. We have appropriate security measures in place to prevent personal information from being accidentally lost, used, or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
We keep information for as long as we need it to comply with legal and professional requirements.
We will then dispose your information by securely deleting it from our storage systems. Please note that, beyond the stated retention period data will be deleted or otherwise put beyond use in accordance with the current guidelines issued by the Information Commissioner’s Office.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
